The Leasing Agent Portal, step by step

Everything you do in the Leasing Agent Portal, start to finish, shown on real screens: applying, your paperwork, signing, getting set up, logging your time, expenses and getting paid. Tap any picture to see it full size. The people in the pictures are test people.

Before you begin

What the Leasing Agent Portal is

The Leasing Agent Portal at portal.fidelity-residential.com is where everything happens: your application, your paperwork, your signatures, your time, your expenses and your pay. Nothing is done by email or on paper.

What you need:

  • A phone with a camera. The portal is built for phones; a computer works too.
  • The email address you applied with, or the one we invited you on.
  • A mobile number with WhatsApp. Bookings and messages about prospects go over WhatsApp.
  • Your Social Security card, or the IRS letter for your EIN, for the W-9.
  • A photo ID (driver licence or passport photo page), if we ask for it.

Never email identity or tax documents, to us or anyone. The portal asks for them when they are needed and keeps them encrypted.

Work through this guide from top to bottom the first time. Later, use the buttons at the top to jump to what you need.

Your account

Signing in and out

  • Open portal.fidelity-residential.com and press Sign in. Use the email you applied with or were invited on.
  • The first time, the account page is run by Microsoft: you set a password and confirm your email with a code we send you.
  • Sign out is at the top right of your home page. Sign out on any phone or computer that is not yours.
  • If we set you up directly, without an application, you get the Welcome to Fidelity Residential email and start straight at your onboarding list.
  • If a page says Not allowed, your account cannot open that page. If you think it should, ask us.
Applying

Apply and create your account

  1. Press Apply now on the Careers page, or open portal.fidelity-residential.com/Apply. Fill in the form: contact details, driving and licence, the questions about how the work is paid, your experience, your availability by day, and two references.
  2. Under Your resume, press Choose file. A PDF, a Word file (.docx) or a photo of your resume is fine, up to 5 MB. On a phone you can take a photo, pick one from your photos, or choose the file from Files, Google Drive, iCloud or Downloads. Its name appears with a green tick; use Replace or Remove to change it. If anything else on the form needs fixing, your resume stays attached.
  3. Press Send application. If anything is missing, the form says how many things need attention and marks each one in red with what to fix.
  4. After sending you see a confirmation page. The email Create your Fidelity Residential portal account arrives within a minute or two. If it is not in your inbox, look in Spam or Junk; the confirmation page reminds you. The button in it works for seven days.
  5. Press Create my account. It opens straight on the Microsoft sign up page: use the same email you applied with, set a password, and enter the code emailed to you.
  6. Once your account is made, signing in shows Your application and where it stands.

What happens next

We read every application. You will hear from us either way.

  • If we would like to move forward, you get Next step with Fidelity Residential: documents. Your application page then asks for your photo ID and your Form W-9 (both explained below).
  • If we do not move forward, you get Your application to Fidelity Residential. Any documents and W-9 you gave us are deleted automatically after 30 days.
  • If you are hired, you get Welcome to Fidelity Residential and your onboarding list opens.
After an offer

Photo ID

Identity documents are only asked for after an offer. Until then the page says Only after an offer.

  1. Open Identity documents from your list.
  2. Under Photo ID, press Choose file: your driver licence or passport photo page. On a phone you can take the photo there and then, pick one from your photos, or choose a PDF from your files.
  3. Press Upload photo ID.

If we need a copy of your Social Security card for your file, a Social Security card upload appears on the same page. It only appears when we ask.

Your photo ID is encrypted the moment it arrives. Only we can open it, every view is recorded with who, when and why, and it is deleted once your identity has been recorded.

When you are hired, sign in and you land on Before your first booking. Work down the list in order, starting with your W-9.

  1. Form W-9, with proof of your number.
  2. Independent Contractor Agreement, read and signed.
  3. Scope of Work, read, initialled and signed.
  4. AppFolio readiness: six things you can do in AppFolio.
  5. WhatsApp number: the number we reach you on.

Each line shows to do or done. Identity documents show when asked. You can log time once the first three are done; finish the other two before your first booking. When everything is done the page says You are set, with a link to this week.

A step may already show On file with Fidelity Residential. That means we already have it, for example signed on paper, and you do not need to do it again.

Everything you sign or initial is kept with the version, the time and your device address, and a copy is always available in your account.

Step 1

Form W-9, with proof of your number

We need your W-9 to report what we pay you on Form 1099-NEC.

  1. Fill in your name exactly as on your income tax return, a business name if you have one, your tax classification and your address.
  2. Choose Social Security number (individuals and sole proprietors) or Employer Identification Number (entities), and type the nine digits. The dashes are added for you as you type.
  3. Upload proof of the number: a photo of your Social Security card (or another Social Security Administration document showing the number), or for an EIN, the IRS letter that assigned it (CP 575 or 147C). A photo or a PDF is fine.
  4. Tick the three certifications. If the IRS has told you that you are subject to backup withholding, do not tick the second one; tell us instead.
  5. Type your name exactly as in box 1 to sign, tick the box agreeing to sign electronically, and press Submit Form W-9. You go straight on to the Agreement.

Your number is encrypted the moment you submit and is never shown in full again, not even to you; your list shows only the last four digits. If something is wrong, the form says exactly what, for example A Social Security number has nine digits; you entered 8.

The Agreement cannot be signed before the W-9 is in, because it takes your legal name and address from it. We also cannot pay any week until your W-9 is on file.

Step 2

Sign the Independent Contractor Agreement

  1. The Agreement is already filled in with your name, address and rate. Read it to the end; the signature unlocks once you reach the bottom. If a detail is still missing, the page says what and where to add it (usually your W-9).
  2. Type your full legal name exactly as the Agreement shows it. If you sign with a different name, say why in the box that appears.
  3. Sign. Choose Draw it and sign with your finger (or mouse), or choose Type it and your typed name is written in a handwriting style. Clear starts again.
  4. Tick the two boxes and press Sign the Agreement.

We email you a copy with your signature on it straight away (Signed: your Independent Contractor Agreement). When we countersign, you get the fully executed PDF (Your signed Independent Contractor Agreement), and Download your executed copy appears on the Agreement page. Keep it.

Read, initial and sign the Scope of Work

The Scope of Work is the day to day playbook: how showings, confirmations, follow ups and AppFolio notes are done. Read it properly; it is what your work is checked against.

  1. Read. The whole document is on screen, 14 pages. The bar at the bottom shows how far you are. The initial boxes stay locked until every page has been shown.
  2. Initial. Type your initials against each of the 11 lines and press Save my initials. They must match your legal name. Your list shows how many lines are done.
  3. Sign. Type your legal name, draw or type your signature, tick the box and press Sign the Scope of Work. You go straight back to your list.

Your initials and signature are written onto the acknowledgement page of the document itself, and it is emailed to you (Signed: your Scope of Work). When we accept it, the acceptance line is completed and you get the fully executed copy (Fully executed: your Scope of Work). You can download it any time from the Scope of Work page.

Your signed copies

Each signed document is a PDF with the signatures on the document itself, followed by a certificate of electronic signature. The certificate records the document's fingerprint, who signed, when, from which internet address and device, and how each signature was made.

Keep your copies. They are also in the portal whenever you need them: open the Agreement or the Scope of Work from your list and download.

When a document changes

If we revise the Agreement or the Scope of Work, you get Please sign the new … or Please sign the Scope of Work, version …. The step reopens on your list. Read and sign the new version the same way; you can log time again as soon as it is done. Your earlier signed versions are kept.

AppFolio readiness and your WhatsApp number

AppFolio readiness. Learning AppFolio before your first booking is required and is not billable. Tick each item only once you have actually done it in AppFolio:

  1. Set my own recurring availability against the Alabama property group
  2. Run Send Rental Application
  3. Create a guest card from scratch
  4. Write and save a note on a guest card
  5. Update the date and time on an existing showing
  6. Send an email and a text from a guest card

WhatsApp number. Dispositions and booking messages go over WhatsApp. Enter the mobile number that has WhatsApp installed and press Confirm this number.

Lockbox codes. We give you the lockbox codes directly. The portal records when, but never stores the codes themselves.

Every day

Log your time

  1. From This week, press Add an entry (or the + beside a day). To repeat something similar, open an entry and press Duplicate.
  2. Choose the date and the work type. The form then shows only the questions that type needs, and only the outcomes that make sense for it.
  3. Enter how long, as minutes or as a start and end time. The line at the bottom shows the hours and the fee as you type.
  4. Answer what happened, paste the same guest card note you saved in AppFolio, and press Save entry.

Until you submit the week you can open any entry to change it, or press Delete. Nothing is sent to us until you submit.

AI call follow ups. Copy the Call ID from the "requires follow up" email. One entry per call, always. Enter when the email arrived and when you first made contact, both in Central time, and the portal works out your response time. Say whether the guest card already existed or you created it, and whether you forwarded the email.

Did they confirm? For a showing, choose Yes, texted CONFIRM, No, had them live on the phone, No, went anyway, or Not a showing.

Worked examples. Press See worked examples on This week for one correctly completed entry for every work type, and the ways an entry ends up unpaid.

Log on the same day. Anything logged after midnight Central is a late entry: it still saves, but you say why, and we see it.

How your fee is worked out

Each entry's minutes are turned into hours, rounded to two decimal places, then multiplied by your hourly rate and rounded to the cent. At $22.00 an hour:

  • 7 minutes is 0.12 h, so $2.64.
  • 45 minutes is 0.75 h, so $16.50.
  • A 10:00 to 11:30 showing is 1.50 h, so $33.00.
  • A shift from 7:00 pm to 1:00 am crosses midnight, so it is two entries, one for each date.

This week shows your billable hours, fees earned, expenses and total due as you go.

Worth knowing

Four situations to know

  • No CONFIRM, went anyway. The rule is a texted CONFIRM or a live voice before you drive. If you went without one, choose "No, went anyway": the entry saves but pays $0.00.
  • Red flags. A showing or follow up with no guest card note, or an AI call without its Call ID, name or phone, still saves, but it is flagged red. Fix it if you can; otherwise you explain it when you submit.
  • Over four hours. One entry longer than four hours needs a short reason.
  • Late entries and closed weeks. Last week stays open until you submit it. Older weeks are closed. The form lets you ask us to unlock one: tap the button, give a reason, and we get a message with the date. If we agree, you get Week ending … unlocked for three days, and the week stays open for three days.

Expenses and receipts

  1. From This week, press Add under Expenses.
  2. Enter the date, what you bought, where, why, and the amount.
  3. Take a photo of the receipt or attach a PDF, and press Save expense. Every expense needs a receipt; if you do not have it yet, save the expense once you do.

Expenses are added to your total due for the week and paid with your fees. Until you submit, you can change or delete an expense.

Reimbursed: supplies you buy for the work, such as open house signs, a key copy or lockbox batteries, at cost with a receipt. Not reimbursed: fuel and mileage; your hourly fee already covers driving (Agreement section 4.5). No receipt, no reimbursement.

Your information

How your information is protected

  • Your photo ID, Social Security card and IRS letters are encrypted the moment they arrive. Only we can open them, and every view is recorded with who, when and why.
  • Your Social Security number or EIN is encrypted when you submit the W-9 and never shown in full again, not even to you; only the last four digits appear. We see it masked, and reveal it only for tax filing, with a reason that is recorded.
  • Your photo ID is deleted once your identity has been recorded.
  • If we do not move forward with your application, your documents and W-9 are deleted automatically after 30 days.
  • No email from the portal ever contains your Social Security number.
  • To help you with a problem, we can view the portal exactly as you see it. That view is read only, so we cannot change anything as you, and every page we open is recorded.
